Terms and Conditions -  Guided Walks

Guided West Highland Way Walking Packages

Service Providers
Your contract is with the provider of the services. We (AMS Outdoors) have an established relationship with all our accommodation and service providers. We constantly review their performance to ensure a high standard is maintained.

Reservations & Invoicing
Reservations are subject to availability and will be confirmed upon receipt of a deposit payment. All accommodation details and confirmation of your deposit payment will be forwarded within 24hrs - 48hrs dependent upon response times from accommodations and service providers

AMS Outdoors accepts direct bank transfers (BACs) - the bank transfer is to be made in GBP.  AMS Outdoors will not be responsible for any charges made by your bank at time of bank transfer.

AMS Outdoors accepts PayPal Payments for Deposit and Final Payment - Please note that payments made by PayPal will be subject to a surcharge of 4.5%.

Booking Amendments
AMS Outdoors will make every effort to assist in any alterations you may request to your tour arrangements. However, in instances of confirmed bookings, an Amendment Fee of £50per person may be charged to cover the cost incurred with this. No amendments can be made to your tour 6 weeks prior to commencement of said tour

Cancellation by You
If it becomes essential for you to cancel your tour, you must contact AMS Outdoors in writing immediately. Upon receipt of the written request cancellation will take effect.

If cancellation occurs:-

More than 56 days before departure - Deposit and non recoverable costs (hotels etc) Non-Refundable
Between 42 and 55 days before departure - 50% of the tour price and non recoverable costs(i.e. hotels etc) will be Non-Refundable
Between 41 and 31 days before departure - 75% of the tour price and non recoverable costs(i.e. hotels etc) will be Non-Refundable
Between 30 and 0 days before departure - 100% of the tour price and non recoverable costs (i.e. hotels etc) will be Non-Refundable

Cancellation by AMS Outdoors
We will not cancel your tour unless, we are forced to do so by circumstances beyond our control:-

1. such as war, unrest or force majeure
2. the minimum number of bookings required to operate the tour has not been reached (see minimum numbers clause)

AMS Outdoors is not liable for any other expenses which you have incurred as a result of a booking that is cancelled by AMS Outdoors.

Minimum Numbers
If the minimum number of clients for a tour as shown on our website has not been reached by six weeks before departure we reserve the right to cancel the tour and / or make significant modifications to the tour and / or make an additional charge to each person booked on the tour. Full return of monies paid to AMS Outdoors, if cancelled due to minimum number of participants not met.

Alterations to Itinerary
Whilst we will always endeavour to stick to our planned itineraries this may not always be possible due to factors out with our control. Examples of this include adverse weather events (e.g. snow or rain), events out with our control (e.g. road closures, landslides, etc) Our Trip Overviews are to give you a guide of what to expect from your holiday but there will still be considerable flexibility when on tour. AMS Outdoors tour leader has the final say on any changes to any itinerary.

Guide Leader Authority
The decision of the leader as to the conduct, itinerary and objectives of the tour is final. If in the opinion of AMS Outdoors tour leader, a group member’s behaviour affects the safety, harmony or wellbeing of the group they have the right to decide on that individuals continued participation on that tour. If you are asked not to take any future part in a tour you will not be entitled to any refund.

Client Etiquette
All clients are asked to walk in a manner that is safely within the laws of the country they are in and within the limits of the terrain/road we are on / environment we are staying in. We also respectfully advise clients to always  behave in a manner that is appropriate and is safely within their personal limits of skill and experience.

Luggage Transfer
Bags must weigh no more than 20 kilos or less depending on the individual carrier’s conditions. Excess items, however small, may incur an extra charge and overweight bags may not be moved.

No valuable or breakable items to be left in transferable luggage

No items to be attached on to luggage (boots etc)

Please ensure luggage labels (attached by carrier) are attached and visible daily

Luggage to be available from 9am each morning

Leaving During a Tour
Should you have to withdraw from a AMS Outdoors tour at any point, and for any reason, any duty of care / responsibility by AMS Outdoors, cease at the point at which a client leaves the tour. There is no refund of monies paid for unused accommodation, meals or other services.

A suitable insurance policy is mandatory for the full duration of the tour. A suitable policy is one that covers you for personal injury to yourself, your property and to third parties whilst participating in a AMS Outdoors tour. Specifically we advise that you obtain a policy that covers you for any medical costs that you may incur in the country/s that you are visiting and also covers the cost of repatriation, death repatriation, helicopter or aircraft rescue, loss of luggage or equipment, cancellation or curtailments. Ensure that there are no exclusion clauses limiting protection for the type of activities included on your holiday. If, in the event of an emergency medical rescue or evacuation from a tour, the client, either by foot, helicopter or otherwise the responsibility for the payment of such costs will lie with the you and will not be met by AMS Outdoors. This will be your responsibility.

Passports, vaccinations and visas are your responsibility. It is also your responsibility to be in the possession of a valid passport, visa permits, vaccinations and preventative medicines as may be required for the duration of the tour. We do not accept any responsibility if you cannot travel because you have not complied with any passport, visa or immigration requirements (clients outwith the UK).

All information on our website and other material is written, and provided, in good faith and is accurate to the best of our knowledge and experience. The client remains responsible for finding out any information necessary such as vaccinations, visa or immigration requirements.

Good Health
Participants must be fit to take part in our tours and it is up to each individual to choose a tour relative to their ability.

AMS Outdoors Responsibilities
All participants take part at their own risk. AMS Outdoors accept no liability for any accidents, injury or damage, to one’s person, personal property or to a third party, that may occur as a result of participating on one of our tours, regardless of how any such incident may occur. Where the company is found to be liable for any damages arising these damages shall be limited to the price paid for the tour. You are directed to the insurance clause within these booking conditions which confirms the insurance you need to have personally.

Joining the Tour
Our responsibility does not commence until the appointed time at the designated meeting point. If you fail to arrive on time AMS Outdoors is not responsible for any additional costs incurred. If you are delayed, please contact AMS Outdoors immediately to advise of your delay. If you cannot make the designated meeting point on time, it will be your responsibility to make arrangements to join the tour at a future stop-off location.

All accommodation used in our tours (unless otherwise specified) is made by AMS Outdoors on a twin occupancy basis. The working detail of this is:

a) If travelling by yourself you will be rooming with a member of the same sex.
b) Should there be an odd number of same sex clients our policy is to use a triple room where this is a workable option. Where this is not possible a “forced single” room will be made available to a client at no additional cost.

Provision of Information
All information on our website and other material is written, and provided, in good faith and is accurate to the best of our knowledge and experience.

Promotional Images
Any likeness or image of you secured or taken on any of our tours may be used by AMS Outdoors without charge in all media for promotional materials of any kind, such as brochures, website, slides, video shows and the internet related to AMS Outdoors.

If you have a complaint about your tour you should communicate this to the tour leader so that remedial action can be taken where possible. You must notify AMS Outdoors in writing within 28 days of the tours completion, if your complaint was not resolved to your satisfaction.
